The document outlines a plan for implementing an alternate work site/schedule in response to a pandemic. The Controller will communicate with the CFO and/or Human Resources/Payroll regarding leave and payroll issues. Payroll/leave reporting processes will be communicated to fiscal managers. Updates will be made to phone recordings and internet postings to inform the public and vendors of any changes. Staff will update their voice mail messages and email responses accordingly. Daily reporting of staff status to supervisors and the Controller is required. The Fiscal Manager of Accounting will coordinate with the Payroll Administrator and the Department of Technology to assess any impact on operations. The recovery period will be determined by public health authorities, and fiscal managers will determine the status of staffing available to return to normal working conditions. They will consult with other departments and meet with the Controller to develop a recovery plan. The plan may include re-allocation of staffing, clearing backlogs, reviewing accounting for unusual expenditures, and addressing personnel, leave, and pay issues. After the pandemic is over and operations have returned to normal, the fiscal managers and Controller will assess the plan and make updates based on office experiences. The plan will be distributed to all staff for comment and feedback. Key vendors/suppliers that must be paid promptly for continuity of operations are listed, including USBank, utilities companies, non-public placement schools, Comcast, contractors, leases, insurance, M&T Bank, critical vendors for instruction, and payroll garnishments. Critical suppliers will be added as per Purchasing, Payroll, and Technology.
