RFP - Non-Alcohol Pouring Rights 2008

  • YEAR CREATED: 2008
  • ENTITY TYPE: City/Township
  • TYPE OF DOCUMENT: RFP - Request for Proposals
The document is a request for proposals (RFP) from the City of Tavares for vending machine services. The city is looking for vending machines that have a one-dollar bill validator and a multi-price coin mechanism. The machines should dispense twenty-ounce plastic bottles and have a capacity of approximately 50% of the capacity for twelve-ounce cans. The decor of the machines should indicate the brand of juice contained inside. The city wants the machines to be the latest in state-of-the-art technology and any machines deemed inadequate or unacceptable must be replaced immediately upon request. If awarded the full-service vending contract, the contractor must maintain ample stock of all products dispensed in the machines. The city has the exclusive right to select the various flavors or kinds of products to be vended, with the majority being nationally advertised brand names of first quality. The contractor must remove products that do not meet the city's criteria and provide additional products as customer demands change. The city will determine product pricing, and any increase in pricing will be at the city's discretion. The contractor must also provide trained, experienced route service/sales personnel for the vending machines. These personnel must have the necessary knowledge, skills, and abilities to provide effective and efficient service. They must meet the standards of conduct, appearance, service, and integrity established by the city and be courteous to all people encountered on city premises. The contractor's personnel must wear uniforms and have identification that distinguishes them as employees of the contractor. The contractor must have trained repair persons available to make repairs to the equipment as needed. The response time for routine repairs must be within twenty-four hours, while time-sensitive repairs must be addressed within four hours. The contractor must also provide an on-site technician for major events at the city and other venues if requested. Failure to respond to service calls in a timely manner may result in cancellation of the contract or the city recovering lost profits. The city will recover an amount equal to twenty-five percent of all gross sales for each affected operational area for the period affected by the contractor's breach or failure to perform. The proposal must include a cover letter, table of contents, introduction, incentive promotion, and proposal details. The incentive promotion section requests a tent for upcoming city functions at Wooton Park, with the city's logo prominently displayed. The proposal details section asks for information on vending opportunities, specific locations, non-traditional sites, product lines, and the ability to dispense coupons. The proposal should also include specific terms and payment details, as well as the desired language for the proposal.
