The document provides a list of requirements for a system that will be used for various functions related to document submission, workflow, proofing, client notifications, variable data application, and document composition/manipulation. The system should have the capability to use the Town's existing network login, password, and network authentication. It should also be able to automatically capture information from known databases and populate appropriate fields in the web submission tool with relevant information from the Town's staff directory/address book. The system should include web submission request software that can be customized if necessary, is user-friendly, intuitive with icons and aids, and allows for certain fields to be set as mandatory. It should also allow for easy attachment of one or more files. The system should be capable of automatically converting all native files to PDF for use in the workflow. It should be able to convert files from Microsoft's Professional Office Suite and Lotus SmartSuite applications, as well as other file types such as desktop publishing program files and CAD application files. The conversion process should be quick. The system should provide clients with a PDF soft proof of their documents for approval prior to production. The soft proof process can be optional or mandatory based on defined rules set by the Town's Print Services area. The system should also provide a "PDF Approval Stamp" to verify that the client has viewed and approved the soft proof. The Print Services operator should be able to view the print specifications and attributes of any given job on screen. The system should have the ability to automatically notify the client of job status at various stages of production, including order received, confirmation order number, soft proof approval received, order printed, and order shipped. The system should support variable data application, with forms or standard data image and resources residing on the Printer Controller. It should provide merge functions to eliminate/reduce network traffic and have a GUI interface. All application development should occur on a standard Microsoft Windows platform, without requiring mainframe or other computing facilities. It should support various types of applications such as simple forms merge, database merge, and native mode Postscript merge. The system should also have the capability to adjust, manipulate, paginate, or imposition the supplied files in one step. Some of the capabilities include resizing, positioning, lightening, darkening, copying, cutting, pasting, de-skewing, de-speckling, cropping, edge erasing, rotating, imposition for booklets, imposition for multi-up images, pagination, various numbering options, chapterization, adding headers, footers, and overprints.
