The maintenance agreements should encompass software, software upgrades, and support for any hardware provided by the vendor. The vendor is expected to warrant that the software does not contain any viruses or disruptive mechanisms. The documentation for the application software should include a comprehensive description of the system, applications, database record descriptions, screen layouts, report layouts, and operator instructions. The vendor is responsible for providing training to the City's Information Technology provider and anticipated users. Additionally, the vendor should provide a recommended hardware listing to support the system. Upon completion of installation and training, the City will conduct acceptance testing of the system. If any discrepancies or errors are found, the vendor must make the necessary corrections. The City will utilize specific testing criteria to determine if the system meets the acceptance tests. The document also includes a list of attendees at a pre-bid meeting. The form of proposal and minimal system requirements are provided as well.
