This document provides detailed instructions for vendors submitting bids to the City of Sacramento. Vendors are required to submit an original bid and two additional copies, along with all necessary attachments, to the City Clerk by a specified deadline. Failure to comply with these requirements may result in bid rejection. The bids must be submitted on printed forms and sealed appropriately. Vendors can obtain an electronic version of the bid from the Procurement's website. The bids will be opened publicly at a designated time and location. It is important that the bids are clearly written without any modifications and properly signed by an authorized representative. Alternate bids are only valid if invited and covered by the specifications. Bid security may be necessary and must be approved by the City. Vendors are not allowed to express interest in more than one bid. The City reserves the right to reject any or all bids and has the authority to waive minor irregularities or informalities. The City Code is applicable to all bids and awarded contracts. If equipment is being bid, it must be the newest and latest model currently in production. A faithful performance bond may be required. Payment discounts offered for early payment will not be considered as a basis for awarding the contract. If a mandatory pre-bid conference is specified, all bidders must attend, and failure to do so will lead to bid rejection. Vendors should direct any bid inquiries to the relevant departments. The City has the authority to correct mathematical errors in the bid and determine the lowest responsible bidder based on factors such as the quality and performance of the supplies, the bidder's ability to fulfill the contract, and their past performance with the City. Additionally, vendors may be required to provide future maintenance, repair parts, and services for the supplies provided.
