EXAMPLES OF THE WORK PERFORMED (ILLUSTRATIVE ONLY)
Provides excellent customer service to both internal and external customers. Reviews and processes requisitions into purchase orders for the procurement of supplies, services and equipment. Initiates and maintains ongoing communications with user departments on contract extensions, terminations and the need for issuance of new solicitations; corresponds with vendors to confirm their desire to extend existing City contract. Writes, prepares and analyzes requests for quotations, and administers the subsequent contract for materials or services to assure that the vendor is adhering to contract requirements and specifications. Acts as a liaison to City departments to determine their purchasing needs and meets with suppliers and manufacturer representatives to develop and review product lines to discuss the suitability and value of products and services to meet the needs of City departments. Checks samples from suppliers to determine that they conform to City specifications. Evaluates the capability of vendors to meet the City's needs. Maintains contact with vendors to keep informed of new products or services, develops new sources of supply and evaluates vendor performance. Processes claims for damaged merchandise, warranty claims while monitoring invoices for accuracy, and obtains necessary credits. Conducts research and performs special projects as assigned. Other duties as assigned. Purchasing Prepares and analyzes informal and formal solicitations, facilitates the review, evaluation and selection process of vendor responses and administers the subsequent contracts. Manages procurement card program. Ensures that user department's budget allocations support extending the contract. Writes, prepares and analyzes written bid invitations. Manages the disposition of surplus property by collecting, storing, and disposing of all surplus personal property and assures that the proceeds are deposited to the proper accounts. Solicits and Purchases various material goods, services and construction. Maintains ongoing communications with vendors and user departments in regard to contracts and contract extensions. Manages contracts to assure that vendors comply with specifications outlined in the contract.
Two years of related college coursework or specialized training beyond high school. Two years of experience in the contractual procurement of materials, services and/or construction. Or any combination of education, experience, and training equivalent to the above Minimum Requirements.
DESIRED EXPERIENCE AND TRAINING
Purchasing Two years of college level coursework in Purchasing or a business-related field. Two years of experience in public sector purchasing. A professional purchasing related certification (e.g., C.P.M., CPPB, CPPO, CPP, CPSM)
Must possess, or obtain upon employment, a valid Arizona driver's license. Regular attendance is an essential function of this job to ensure continuity.
