Job Overview: The eProcurement Administrator for UT Market is responsible for the administration, analysis and solution support activities contributing to the overall Jaggaer eProcurement system. This position plays a key role in the procurements by The University of Texas at Austin. The University's eProcurement platform handles tens of millions of dollars in spend per year. This is an integral role that contributes to the effective use of the solution, assisting other business users to improve adoption, driving additional value by taking advantage of complete system functionality, and supporting various UT Austin departments with business process and solution related support activities.

Job Duties:

  • Lead the eProcurement platform, UT Market, innovate and provide process improvements that maximize procurement opportunities for the entire UT Austin campus on the UT Market platform. Document business requirements and propose recommendations for the addition of new catalogs, process improvements and automation leveraging eProcurement and Contract system functionality.
  • Use interpersonal, oral and written communication skills to present ideas concisely and to communicate effectively with various stakeholders and constituents within the university community.
  • Provide cross functional liaison support among end users and information technology/technical support teams, serving as an application expert.
  • Provide support for the implementation and on-going operations for the Jaggaer platform, including upgrades and enhancements.
  • Analyze current business processes, identifying and offering continuous improvement opportunities for existing processes.
  • Monitor and review upcoming functional changes to the application by attending web-conferences, teleconferences or other supplier sponsored activities.
  • Support the development of and assist with administering effective training programs for end users on current and new Jaggaer features and processes.
  • Provide support for questions regarding procedures and systems related to Jaggaer system.
  • Work closely with internal staff to understand technology impacts on Purchasing operations (i.e. contract and shopping configurations, supplier enablement opportunities).
  • Work with our technology units to troubleshoot systems issues as they arise.
  • Manage feedback and issue resolution to ensure commitments and deployment roadmap milestones are met.
  • Ensure all users, approvals, and filters are set up in accordance with University standards and policies.
  • Develop and coordinate training and communication with internal focus groups, providing updates on changes in templates or supplier onboarding process.
  • Monitor and regularly report on the usage of UT Market tools and develop and implement plans for improving tool usage.
  • Participate in professional development activities and keeps up-to-date on trends, best practices and technology associated with job function.

Requirements

POSITION RESPONSIBILITIES

  • Duty (40%): Lead the eProcurement platform, UT Market, innovate and provide process improvements that maximize procurement opportunities for the entire UT Austin campus on the UT Market platform. Document business requirements and propose recommendations for process improvements and automation leveraging eProcurement and Contract system functionality. Use interpersonal, oral and written communication skills to present ideas concisely and to communicate effectively with various stakeholders and constituents within the university community. Provide cross functional liaison support among end users and IT/technical support teams, serving as an application expert. Provide support for the implementation and on-going operations for the Jaggaer platform, including upgrades and enhancements. Analyze current business processes, identifying and offering continuous improvement opportunities for existing processes.
  • Duty (20%): Corresponding with vendors and personnel at The University of Texas at Austin. Ensuring that vendors are complying with all terms of contracts and that all goods and services are properly provided. Ensure that all agreements with vendors promote low prices, rebates, promote Historically Underutilized Business participation, and provide goods and services which meet The University of Texas at Austin's needs. Track all sales and make recommendations to University as to how to maximize the use of UT Market and provide strategic souring through UT Market.
  • Duty (20%): Work closely with UT Austin personnel to promote eProcurement operations (i.e. contract and shopping configurations, supplier enablement opportunities) through UT Market. Work with Information Technology departments and suppliers to troubleshoot systems issues as they arise. Manage feedback and quickly provide resolution for all questions or issues. Ensure commitments and deployment roadmap milestones are met. Ensure all users, approvals, and filters are set up in accordance with University standards and policies. Develop and coordinate in person and online training for all University users and provide useful communications in order to maximize the use of the UT Market, including providing updates on changes in templates, downtimes for UT Market and supplier onboarding process.
  • Duty (20%): Reviewing and resolving procurement issues, ensuring that departments comply with procurement laws, and helping to educate University employees about procurement, Historically Underutilized Business, purchase orders and contracts. Monitor and regularly report on the usage of UT Market tools and develop and implement plans for improving tool usage. Participate in professional development activities and keeps up-to-date on trends, best practices and technology associated with job function.

EXPERIENCE:

  • Bachelor's degree. Attention to detail and excellent customer service skills. Strong business process skills. Excellent communication and interpersonal skills. Excellent organizational skills. Proficient at Microsoft Office Products, Access, DocuSign, and the Internet. Equivalent combination of relevant education and experience may be substituted as appropriate, including contract manager certification (CTCM or CTCD). Jagger Platform Certification, CPM (Certified Purchasing Manager), CPSM (Certified Professional in Supply Management), CSCP (Certified Supply Chain Professional), CPPB (Certified Professional Public Buyer) and/or CPPO (Certified Public Purchasing Officer).
  • Preferred Requirements: Extensive experience as a project manager, extensive experience with process improvements, and extensive experience with Jaggaer procurement suite.

Travel Required: Less than 5%.

Working Conditions: Work within standard office conditions. Repetitive use of a keyboard at workstation is required. Conversing on the phone, in person meeting, and Teams and Zoom meetings throughout the day. Climbing stairs may be required. Ability to work with a computer, scanner, and copier throughout the day. Lift, carry and file paper files. Use of manual dexterity. Security and confidentiality sensitivity. Criminal background check will be conducted. Continuously work with a high volume of contracts and under pressure of deadlines. Working more than forty hours per week may be required. Work in shared office space with noise and other distractions. This position may include remote work.
