The purpose of this classification is to provide support to the warehouse supervisor in all phases of warehouse operations to include maintaining all inventory records, the receipt, maintenance, and issuance of county supplies/materials stocked in the warehouse.


The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. All functions may not be performed in all departments. Other duties may be required and assigned. Inputs all transactions into computer system; enters, retrieves, reviews, or modifies data in computer database; verifies accuracy of entered data; and makes corrections. Inputs data received from Warehouse and other departments’ Purchase Orders, inventory information, and data from requisition for catalog supplies; issues department credits on returned stock items; and other functions related specifically to the Warehouse and Print Shop; reconciles computer reports with daily transaction activity. Initiates adjustments ad necessary to balance both records. Inputs data from Capital Equipment Forms of turned-in surplus items; maintains official record of all turned in material throughout the year; and develops accurate list for annual auction to dispose of all materials. Reissues surplus materials and adjusts records, as necessary, to reflect issues or reassignments; and coordinates with Finance Department to ensure county asset records reflect all activities. Assists in maintaining inventory of warehoused materials; monitors security of items stored in warehouse; and monitors inventory levels to ensure adequate quantities are in stock; initiates orders for new or replacement materials; assists in conducting periodic inventory counts of materials in stock; and orders office supplies, as necessary. Receives, stores, and delivers documents, office supplies, records, etc. Assists with the review of departmental work. Performs duties as front desk receptionist; answers all incoming phone calls; operates a variety of machinery, personal computer and Xerox printer, AS400 computer and IBM printer, facsimile machine, copy machine, calculator, two-way radio, and pager for courier. Initiates communications with buyers and finance department regarding purchase orders, problems, prices, discrepancies, or related issues. Types letters, reports, summaries, and correspondence; prepares folders and maintains files of department correspondence; photocopies documents and distributes copies to Finance Department, and requests information from other departments, as necessary, to complete department files. Reviews worksheets for completeness and accuracy (Daily Inventory Transaction Report). Provides customer service at the counter, by telephone, fax machine, and by interoffice and U.S. Mail. Ensures orders are entered into inventory system promptly to minimize waiting for over-the-counter requests; follows up on telephone/fax orders to ensure prompt delivery; provides assistance and information related to department procedures, forms, current costs of stock items, or other issues; responds to routine questions, complaints, or requests for service; researches problems and initiates problem resolution. Receives and distributes all incoming mail for Warehouse and Print Shop. Assists in filling over-the-counter requisition supply requests. Assists in Warehouse physical inventories; posts actual inventory to computer records; reconciles physical and computer records by initiating adjustments, as needed, to balance. Updates Warehouse Supply Catalog daily as new items are added or average cost changes, and prepares for complete catalog printing, as needed. Monitors funding allocation for Warehouse operations and brings to supervisor’s attention any funding problems; assists in developing budget request.


Assists with special projects, as needed. Receives incoming packages and deliveries; inspects deliveries to verify receipt of correct materials and of entire order; records/logs all deliveries in receiving book; pulls orders from stock for delivery; and checks stock orders pulled by others, as needed. Performs other related work as required or assigned by the Warehouse Supervisor.



High school diploma or GED; supplemented by one (1) year experience performing receptionist and data entry duties in a warehouse and/or purchasing department; or any equivalent combination of education, training, and experience which provides the requisite knowledge; skills, and abilities for this job. Must possess and maintain a valid Georgia driver’s license.
