General Summary Under general supervision, individuals assigned to this position work in a team setting to perform a wide variety of administrative and technical staff support duties. Responsibilities include document, data, and records management; routing documents, both confidential and non-confidential; perform simple contract amendments; assist in simple procurements; assist with Purchase Card administration; providing excellent customer service both internally and externally; and provide general administration for the department. Essential Duties & Responsibilities Responsible for simple contract amendments and contract renewals. Assist the Procurement Department with simple procurements; micro-purchases and procurements that do not require a contract. Assist the Purchasing Card (Pcard) Administrator(s) with ordering P-Cards, distribution of cards, statement auditing, and general account administration. Serve as a backup to the front desk by greeting persons who enter District facilities, determine nature and purpose of visit, and direct or escort them to specific destinations. Learn to operate new office technologies as they are developed and implemented, and train others in the use of equipment, applications, and technology. Compose, review, and edit work done by others evaluating writing and providing recommendations for revision related to content, organization, voice, word choice, sentence fluency, and conventions. Operate office equipment, such as fax machines, copiers, phone systems, computers, and presentation equipment, and any other relevant equipment, and arrange for repairs when equipment malfunctions. Assist in documenting policies, procedures, and processes. Analyze work procedures and processes; research best practices; and make recommendations for improvements and revisions. Create, maintain, and enter information into databases; prepare and process various forms of documentation and reports; collect, sort, distribute, or prepare mail, messages, packages or courier deliveries; transmit information or documents to internal and external customers, while protecting confidential information as necessary. Performs other related duties as assigned. Supervisory Responsibilities None Fiscal Responsibility Incumbent follows procurement policies and procedures with regard to financial decisions, however, they do not have direct financial authority.

Requirements

Required Education and Experience Any equivalent combination of education and experience which provides the knowledge, skills, and abilities required to perform the job. Education and course work can substitute for years of experience.

Typical qualifications would be:

Experience: Three to Five years of administrative or clerical experience in a customer service, team-oriented environment.

Proficiency with Microsoft Products: Outlook; Excel; Word; and PowerPoint (will be validated with testing)

Preferred: College course work in relevant areas such as Business or English is desirable. Procurement background desired but not required.

Position Type and Expected Hours of Work This position is a full-time non-exempt position and is eligible for the regular administrative benefits package. This position has a pay range of $22.50 - $26.47 per hour. May work in a normal office environment and/or remote office as approved. Will sometimes be required to work and/or attend meetings or events in public and at all LTD locations. Monday through Friday 8am until 5pm Occasional abnormal hours are expected and required for specific events and to reach all employees.
