The Official Chapter Visit Program provides chapter members with a unique opportunity to share chapter success stories and governance issues with a prominent member of NIGP's Board of Directors who, in turn, can share valuable information concerning the future direction of the Institute.

For an Official Chapter Visit NIGP Will:

Provide an elected leader of Executive Committee, NIGP Board of Directors or Professional staff to address the local chapter audience or speak on a preferred topic, (all speaker expenses are reimbursed by NIGP based on the established guidelines in the Chapter Visit Policy).
 
Provide print marketing and promotional material on NIGP membership, services and products.
 

The rotational visit schedule provides for one official visit per Chapter at least once every 4 years at no cost to the Chapter. NIGP Chapters with an active status are eligible for an Official Chapter Visit by the following order of position:

Executive Committee Member (includes the CEO);
Member, Board of Directors;
NIGP professional staff.

If the chapter specifically requests a particular individual from the protocol list, every effort will be given to accommodate the chapter request.

Official Chapter visits are to be scheduled through the NIGP Chapter Relations Manager by way of the Chapter Visit Request Form. Priority is given to those chapters eligible based on the rotational visit schedule and budget. Chapter chartering ceremonies (new chapters) are considered official chapter visits under this policy.

Chapters who are eligible for a scheduled official visit are notified of this opportunity at least three (3) months prior to the end of the preceding fiscal year. Chapters shall notify the national office of their interest by no later than the first business day of the affected fiscal year of the official visit. If the Chapter elects not to receive an official visit, the national staff, in consultation with the NIGP President, can utilize the budget dollars earmarked for Chapter visits to schedule visits with others Chapters that were not scheduled to receive an official visit during the year.

Board of Directors Chapter Visit:

This program, added to the Chapter Visit Policy in late 2005, promotes communication between the chapters and their regional and at-large representatives on the Board of Directors. This is a supplemental program to the Official Chapter Visit Program outlined above and does not require, but encourages, participation by the regional and at-large directors. Each Board director annually has a limited amount of funds for these regional chapter visits and establishes a two-year chapter visit schedule that coordinates with the Official Chapter Visit Program. Informal Chapter Visit:

The Chapter Visit Policy also allows for an Informal Chapter Visit whereas NIGP National will provide assistance in recruiting a speaker on purchasing or membership related topics (any expenses incurred by speaker will be the responsibility of the chapter/speaker based on private agreement between the mentioned parties). Speakers will be selected based on availability, geographical location and discussion topic. Requests are made utilizing the Chapter Visit Request Form.

If an NIGP Chapter is holding a conference, workshop or meeting, NIGP will:

Provide assistance in recruiting speakers on purchasing or membership related topics (any expenses incurred by speaker will be the responsibility of the chapter/speaker based on private agreement between the two parties). Chapters are encouraged to utilize the on-line Speakers Bureau listing at www.nigp.org/member_services/Speakers.htm, the Members Helping Member service or complete the Chapter Visit Request Form (check box for Unofficial Chapter Visit) to ask for this service.
 
Provide printed marketing and promotional material direct from NIGP.

A chapter may request a chapter visit or speaker from any NIGP elected leader or staff member at any time. However, all expenses incurred by the speaker will be the sole responsibility of the Chapter initiating the request.
